Guidelines for constructing

Permissions and safety

Driving vehicles inside the hall is prohibited in Ouluhalli due to limited space.
Note! If your exhibition stand includes heavy or large exhibits, you must arrange their delivery to the hall in advance with the event organizer—no later than 14 days before the event: asiakaspalvelu@expomark.fi

IMPORTANT! Trucks and other large vehicles used by builders must be removed from the parking areas during the event days!

If a vehicle is used as an exhibit inside the hall, it must be ensured that the power is disconnected either via the main switch or by removing the battery cables. The fuel tank should contain as little fuel as possible. The exhibitor must also ensure that no oil or similar substances leak onto the floor surface. If the vehicle needs to be operated during the exhibition (e.g. to demonstrate auxiliary equipment), permission must be requested from the fire authorities at least 30 days before the event.

If vehicles are exhibited in the outdoor exhibition area (the exhibition square), the exhibitor must ensure that no oil or similar substances leak onto the pavement. In case of any issues, the exhibitor is held responsible.

Inside the hall only air balloons are allowed, balloons filled with gas are prohibited inside.

If painting work is carried out in the exhibition premises, the floor and surrounding area must be thoroughly protected.
Painting equipment can be cleaned in the cleaning room located opposite the Exhibition Office. Washing painting tools in the toilets or maintenance facilities is strictly prohibited. The exhibitor is responsible for the proper disposal of paint waste, empty containers, and equipment.

The fair organizer is responsible for paying the license fees for the performances of music (record or tape players, TV or radio or whether the performances are “live”). Exhibitor don’t need to do own announcement.

The use of open flames at events is prohibited. An open flame refers to devices where fire or flame is exposed outside the device, such as gas stoves, cookers, oil lamps, candles, or similar items.

Demonstrations involving sparks—such as welding, flame cutting, or similar activities—require permission from the fire authorities. Permission must be requested from the Oulu Regional Rescue Department at least 30 days before the event. The application must include:

  • Design plans of the exhibition stand
  • Technical details of the demonstration
  • Information about the performer holding a valid hot work permit

Note! Ouluhalli does not have a permanent hot work area.

Work performances and program numbers raise exhibitions ambiance and create positive and active atmosphere. If there are noisy performances (e.g. work or musical) on the stands, the intensity at the stand can momentarily be max. 80 dB.

Every performance on the stand must be informed to the exhibition organizer at least two weeks before the fair begins: tel. +358 10 830 0800, customerservice@expomark.fi. Also, it would be polite to inform your stand neighbors within time limit about noisy performances.

Planning the stand

Ouluhalli is circular in shape with a curved roof. An advertising truss runs around the hall, positioned 0.5 meters from the wall. The clear height below the truss is 2 meters, after which the ceiling height begins to increase from approximately 3 meters, reaching up to 20 meters at the center of the hall.

If people will be present on the second floor of a stand, the floor must be enclosed on all sides with solid walls or railings that comply with building regulations. The minimum height for railings is one meter (1 m). An additional visibility fee will be charged for the second floor area, either as agreed or at a minimum of €500 + VAT.

Drawings of two-story stand structures must be approved in advance by the local building control authorities.

You can not make ceiling suspensions in Ouluhalli.

The standard and the minimum height of the stands is 250 cm. If the wall constructions or the decoration ornaments of the stand exceed 250 cm, the raising will be considered as additional advertising space and it will be charged 500 €+ VAT. You need to also ask permission in advance from exhibitor organizer if your constructions are over 250 cm. This rule does not apply to exhibits, if they don’t contain product or company advertising. A construction exceeding the standard height of the partition wall may not be closer than 1 m from the boundary of the closest stand. In case if constructions are too near the neighbor stand, exhibitor must ask neighbor’s permission for higher construction. The stand drawings must be sent to the exhibition organizer in advance – latest 30 days before the event to customerservice@expomark.fi.

The floor of Ouluhalli is concrete, with some areas covered in Novotan coating. Exhibitors are required to cover their entire stand area with carpet. The carpet must be flame-retardant (Class L). Attaching carpet to the floor with adhesive tape is prohibited.

If your stand includes heavy exhibits, their weight per square meter must be reported in advance to the event organizer: asiakaspalvelu@expomark.fi. To prevent floor damage, thin, narrow, sharp, or heavy items must be placed on sufficiently wide and durable bases (minimum size: 20 x 20 cm). Vehicles must be equipped with base plates under the wheels to distribute the weight evenly.

There are transport trolleys available in the hall, which can be borrowed free of charge for moving small items.
The official logistics partner of the event is Suomen Event Logistics Oy, responsible for:

  • Incoming shipments, on-site storage during the event, and return shipments
  • Lifting and transport services
  • Storage of empty packaging materials (Note: Ouluhalli does not have storage space during the event)

Important information regarding dismantling the exhibition:

Please notify David Palomo (david@suomeneventlogistics.com) by 10:00 AM on the last dismantling day about any shipments to be picked up by transport companies. All shipments not reported for pickup will be transferred by Suomen Event Logistics Oy to their transport partner’s terminal in Oulu. This ensures that no items remain in Ouluhalli after the dismantling period ends. The exhibitor will be charged for any costs incurred from this transfer.

Exhibitors using a transport company must provide the following information in advance:

  • Exhibitor company name and stand number
  • Name of the transport company handling the return shipment
  • Waybill number or order number
  • Estimated volume of goods (dimensions and weight)
  • Agreed pickup time

Shipments not reported to the exhibition hall in advance can be collected from the following address:

For shipments left for pickup by other transport companies (with prior notice) but not collected as agreed, a cost-effective group transport will be arranged to the terminal above.

Unreported shipments may not fit in the same transport, and the cost of transfer to the terminal may be significantly higher.

Each stand must have its own wall constructions. The exhibitor is not allowed to use neighbor’s stand walls without written contract with the neighbor exhibitor. The standard and the minimum height of the stands is 250 cm.

The exhibition organizer has arranged the general cleaning, which includes the cleaning of the general areas and hallways. The exhibitors are responsible for keeping their stands clean before and during the exhibition. Please, order cleaning separately from eShop. If the Novotan floor coating will get dirty or harmed by the exhibitor, will he/she be responsible to pay the cleaning costs.

The exhibitor is obliged to remove the construction waste from stand and hallway(s) next to the stand to garbage platforms and refuse sacks:

  • cardboard to platforms reserved for them
  • bright plastic to containers reserved for it
  • other garbage to waste cans
  • wood waste must be removed to a certain separate platform

You can order removal of plastic cover from cleaning service provider or constructor of stand.

Electricity connections and other electric installations on the exhibition area are provided by Messusähkö Oy. When ordering for electricity, the exhibitor needs to consider the total usage of electricity of the stand. Order electricity to your stand via eShop. A placement drawing of the electrical equipments must be sent to: messusahko@messusahko.fi. Here you can find few examples of usage of electricity of some electric equipment:

Electricity is on through the whole event (also in the night time). There is no certified network in the hall’s electricity network. All electrical equipment brought to the standby the exhibitor or the builder must be safe according to electrical regulations of Finland. Exhibitor is always responsible for the possible damage or cost if electrical equipment is installed by other party than the electrical contractor.

NOTE! Service Door 3 is not in use!

You can conveniently send passes to the e-mail or mobile phone of your fair team members via the eShop under Send passes. 

The recipient of the pass can print it in advance via the link in the e-mail, or you can also print it at the entrances or at the Exhibition office. You can create as many passes as you need.

The builder’s pass is for the staff of your stand during the constructing. The pass is personal and valid during construction and dismantling times of the fair. The pass must be displayed when entering the venue. Passes are free of charge.

NOTE! The event workspace in the eShop will not open until autumn 2025.

Deliveries to the exhibition area may begin no earlier than on the first construction day.
Exhibitors are responsible for delivering their exhibition items to the venue at their own expense.
They are also responsible for receiving, unpacking, storing, and transporting their goods to the stand, as well as handling return shipments after the event. The event organizer or Ouluhalli staff cannot sign for or receive deliveries on behalf of exhibitors.

Suomen Event Logistics will receive all shipments sent to the event if no exhibitor representative is present to receive them upon arrival. This service is subject to a fee.
